Privacy and your information.

This notice explains how Kaizen Academy Limited uses information collected through our website, enquiries and memberships. Contact us at support@kaizenlancaster.co.uk or Kaizen Academy, Ridge Lane, Lancaster, LA1 1EB.

Enquiries and first visits

We use the name, email address, class choice, experience level and message you provide to answer your enquiry and help arrange a suitable first class. For kids enquiries, we ask for a timetable age group rather than a date of birth. A parent or guardian should make the enquiry.

We use this information to take steps at your request before a membership contract and, where applicable, for our legitimate interest in answering enquiries and running the academy. You do not need to agree to marketing to receive a reply.

Memberships, payments and clothing

We record the member's name, contact email, selected membership, relevant age information, parent or guardian details where required, clothing choices and evidence of the terms and photography-policy acknowledgement. A signed agreement records the signer, date, accepted terms version and the associated order reference.

We use these records to provide your membership, collect payments, arrange clothing collection and handle account changes. Our lawful bases are performing the membership or purchase contract, meeting applicable legal obligations and our legitimate interest in keeping reliable records and resolving disputes.

Stripe collects and processes payment-card details in its secure payment form. Our website does not store full card numbers or security codes. We keep payment references and statuses needed to confirm payments, identify unpaid invoices and help update the card on an existing subscription. Relevant payment information is handled by the Kaizen Stripe account receiving your purchase.

Email replies and AI assistance

We use Google Workspace to receive enquiries and send booking guidance, membership welcomes, stock notifications and payment messages. Firebase supports the website's records and automation. OpenAI assists with replies to ordinary class enquiries using your message and the academy's class information.

These replies help you choose a class; they do not make decisions about your legal rights or whether you qualify for membership. Staff can review an enquiry or correct a reply. Please do not put medical information, card details or other sensitive information into the website message box. Email the academy if your question needs a personal discussion.

Website services and your choices

Google Firebase hosts the new website and its services. Google App Check and reCAPTCHA help protect forms from abuse and process technical information needed for that purpose. Hosting providers can process connection and diagnostic information. Our application uses temporary hashed client identifiers for rate limits rather than retaining raw IP addresses in its lead records.

Optional Google Analytics loads only after you accept it. Form answers, names, email addresses, payment references and page query strings are excluded from our analytics events. Google Maps loads when you press the map button or follow a directions link. See Cookies and analytics for the details and how to change your choice.

Who can receive information

Information is available to the academy staff who need it for their work and the relevant service providers: Stripe for payments, Google for hosting, authentication, email, anti-abuse checks and optional maps or analytics, and OpenAI for class-enquiry assistance. We may also provide necessary records to professional advisers, payment-dispute services or authorities where appropriate and lawful.

Our website database is configured in London. Some providers may process information outside the UK. Where a restricted international transfer is required, an applicable adequacy arrangement or contractual safeguards must cover it. Contact us for information about the safeguards relevant to your records.

How long we keep information

We keep information for as long as it is needed for the purpose it was collected. We assess enquiry records by whether the enquiry remains active or becomes a membership. Membership, payment and signed-agreement records may need to be retained after membership ends for accounting, payment disputes, legal obligations and the period in which a claim may be brought. An unresolved dispute or legal hold can require longer retention. Security and rate-limit records are kept for the shorter period needed to investigate abuse and maintain the service.

Photography and children

Our photography policy explains photography at the academy. Acknowledging the policy does not automatically give permission for every use of a person's image. Tell us about a photography restriction before class, particularly for a child. Our safeguarding policy remains available in the footer.

Your rights

You can ask to access, correct or, where applicable, erase your information, restrict its use or receive a portable copy. You can object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you can withdraw it without affecting earlier lawful processing. Some records must be retained to meet legal obligations or resolve a claim.

Contact support@kaizenlancaster.co.uk to ask for help or exercise a right. We may need to verify your identity. You can also complain to the Information Commissioner's Office.

Providing information

You may browse the public pages without filling in a form. Required form details are needed to answer an enquiry or provide the membership or purchase you request. If you leave them out, we may be unable to complete that request. We update this notice when the services or our use of information changes.
